Managing Players and Guardians
In the Rookie Me ecosystem, managing players is a two-step process. First, you create a Player Profile (the record). Secondly, you invite the "real" person to link their account to it. This gives you the flexibility to use the Hub as a database (CRM) without forcing every player to use the apps if they don't want to.
The Two-Step Logic
- The Player Profile: This is a record of the player (Name, DOB, Position). You create this first. It exists only in the Hub for your records.
- The Linked User: This is the "real" person. When you Invite a player, they link their account to the Profile. Once linked, they can log into the Connect app to see their schedule.
Adding Player Profiles
Before anyone can join the team, you must create their player profiles. There are two ways to get your roster into the system:
- Manual Entry: Best for adding one or two players. Click Add Player and fill in their details.
- Bulk Import: Best for setting up the whole season. You can upload a CSV (spreadsheet) to Hub to create multiple profiles instantly.
Tip: If you include a player's email address in the import, it saves to their profile, making the invitation step below much faster.
Requirement For Parents/Guardians
For a Parent/Guardian to join your team, they must first set up their family group using Family Connect. This feature allows Parents/Guardians to manage multiple children under one single login.
How Parents/Guardians set up a Family:
A Parent/Guardian starts by navigating to Family Connect within Connect or Hub and creates a Family Group (e.g., "Smith Family"). They then add their child(ren) using one of three methods:
- Sub-Accounts (No child email needed): The parent creates a "dummy" account for the child using their own email via sub-addressing (e.g., smith+john@email.com). The parent manages the password.
- Email Invite: If the child has their own email, the parent sends an invite. Once the child accepts, they are linked to the family.
- Family Join Code: A temporary code generated by the parent/guardian. The child creates an account, goes to "Family Connect" in their app, and enters the code to join on their own device.
Critically, a Guardian cannot join your team roster until they have established this family link.
Linking Users to Player Profiles
To give a player and/or guardian access to the apps, you must invite them to link their personal account to the profile you created. There are three ways to do this:
Method 1: Email Invite
On a specific player’s profile add the player’s or guardian’s email and click Invite. Alternatively, add the players or guardians email when importing and click Invite All to send invitation emails to every profile that has a saved email address but isn't "Linked" to a real user yet.
The recipient receives an email with two distinct options:
- "I am the Player": They proceed to link their own account to the profile.
- "I am the Guardian": The system checks if they have a Family set up.
- If yes: They simply select which child in their family matches the Player Invite.
- If no: The app guides them to set up their Family Group first, then links the child.
Method 2: Team Join Code
You provide the team’s Join Code. When they enter the code, they select Player OR Parent/Guardian.
- For Players: The app searches your roster for a player profile that matches the name of the account. The player confirms the match to link their account.
- For Guardians: The Guardian selects the correct child from their Family Connect group to match against your roster.
If there are no matches, the player/guardian can request to join. A Team Admin must accept their request in the Hub, or Connect before they gain access.
Method 3: Joining via the Child's Profile
If a child has already joined the team using their own account, the Guardian can simply:
- Open the Connect App.
- Go to their Family Connect.
- Tap their child's name.
- Tap the child’s team.
- Select "Join Team as Guardian."
